A deadline review queue with an accountable owner

Surface candidate deadlines from approved matter records, assign an owner, and escalate unacknowledged tasks. Staff verifies the applicable rule, date calculation, timezone, and court calendar before a deadline becomes authoritative. The workflow coordinates review and reminders; it does not determine filing obligations or replace the firm’s docketing process.

Designed around a human checkpoint.

This blueprint describes a proposed system. Review the data path and pass your firm’s acceptance tests before live use.

The operating problem

A reminder system becomes dangerous when a candidate date silently becomes a legal deadline. Keep extracted dates, reviewed deadlines, and calendar reminders as different records with different permissions.

Use your own working copy

The free workbook for this process opens in a browser and works offline after download. It includes editable checks and notes, a text export, and a print view. It is a planning resource: it does not send messages, read account data, or run actions in business systems. No vendor account is needed to use the workbook.

Map the process

1. Collect candidate dates

Read from a permitted source and retain the original reference. Flag ambiguous date formats and incomplete triggering events.

2. Create a review task

Assign a qualified owner and a second check where the firm requires it. Show the source and the proposed calculation.

3. Approve the deadline

The authorized person confirms rules, holidays, service method, timezone, and the final date.

4. Publish reminders

Use the reviewed deadline ID to create calendar reminders. Store external calendar IDs for safe updates.

5. Escalate missed acknowledgement

Alert the backup owner if a task is unacknowledged. Reconcile the calendar against the authoritative docket daily.

Information to check

These reference fields describe the process. Use invented values while planning. Keep real records in an appropriate private system; the public website does not need them.

Reference field Working record Check before progressing
candidate_date review_input Never authoritative before review
source_reference provenance Preserve the triggering record
approved_deadline docket_date Authorized approval only
calendar_event_id calendar_reference Update instead of duplicating
backup_owner escalation_assignee Explicit fallback owner

Acceptance checks

  • An ambiguous date format blocks publication.
  • A changed source date invalidates approval.
  • A disconnected calendar creates an exception.
  • A missed acknowledgement escalates to the backup owner.

Walk through a successful example, a duplicate, a missing item, an incorrect match, and an interrupted handoff with synthetic records. Record the expected result, observed result, owner, and recovery action. Checklists record your work; checking a box does not establish that an external action happened.

Ownership and review

Name the person responsible for the process and the person who can resolve an exception. Define which decisions require qualified professional review. Use stable references, limit access to private records, and document when work must stop. Educational material does not establish legal, accounting, tax, security, or regulatory compliance.

Run a measured pilot

Choose a small, reversible sample. Measure handling time, waiting time, review, rework, and errors before changing the process. Include the effort of maintaining the new method. Expand only when the observed result meets your acceptance criteria; a longer checklist is not proof of improved performance.
