The operating problem
Repeated messages can frustrate clients and expose context to an unintended recipient. Record what is missing, who may be contacted, when contact is allowed, and the point at which a person takes over.
Use your own working copy
The free workbook for this process opens in a browser and works offline after download. It includes editable checks and notes, a text export, and a print view. It is a planning resource: it does not send messages, read account data, or run actions in business systems. No vendor account is needed to use the workbook.
Map the process
1. Create a scoped checklist
A staff member selects the requirements appropriate to this matter. Avoid a universal KYC/AML checklist for every legal practice.
2. Store secure references
Keep files in the approved portal. Save receipt status and references in the workflow rather than copying identity documents into notifications.
3. Schedule a reminder
Set a due time and maximum attempt count. Apply recipient timezone, quiet hours, and channel-specific permissions.
4. Re-check and draft
Fetch the latest checklist and contact permissions. Draft a reminder listing categories only, with a secure portal link.
5. Escalate to staff
After the configured attempts, create a staff task. An automated voice call requires a separate consent and communications review before activation.
Information to check
These reference fields describe the process. Use invented values while planning. Keep real records in an appropriate private system; the public website does not need them.
| Reference field | Working record | Check before progressing |
|---|---|---|
| request_id | checklist_reference | One request per scoped checklist |
| matter_id | matter_reference | Verified matter association |
| missing_categories | reminder_summary | No document contents in SMS |
| attempt_count | escalation_state | Cap repetitive contact |
| contact_permission | channel_authorization | Stop immediately on opt-out |
Acceptance checks
- A late upload cancels the reminder.
- A blocked channel cannot fall back to voice automatically.
- The attempt limit creates a staff task.
- A closed matter stops outstanding requests.
Walk through a successful example, a duplicate, a missing item, an incorrect match, and an interrupted handoff with synthetic records. Record the expected result, observed result, owner, and recovery action. Checklists record your work; checking a box does not establish that an external action happened.
Ownership and review
Name the person responsible for the process and the person who can resolve an exception. Define which decisions require qualified professional review. Use stable references, limit access to private records, and document when work must stop. Educational material does not establish legal, accounting, tax, security, or regulatory compliance.
Run a measured pilot
Choose a small, reversible sample. Measure handling time, waiting time, review, rework, and errors before changing the process. Include the effort of maintaining the new method. Expand only when the observed result meets your acceptance criteria; a longer checklist is not proof of improved performance.
