When each option makes sense
A firm’s intake CRM needs a clear next action, an owner, and reliable handoff into delivery. Compare consent controls, pipeline permissions, duplicate management, and the cost of the required tier. Keep professional acceptance, conflict decisions, and client documents in the firm’s approved systems, even when sales activity lives in a CRM.
| Decision | Choose HubSpot when… | Choose Pipedrive when… |
|---|---|---|
| Pipeline model | Separate contact lifecycle from engagement status. | Define deal and activity states explicitly. |
| Permissions | Test record and field access on the actual plan. | Test access to prospect data by role. |
| Automation | Check required workflows and API access by tier. | Check triggers, integrations, and retry behavior. |
| Ownership | Assign a fallback when a record has no owner. | Track stale deals and unacknowledged follow-up tasks. |
Run a small proof before committing
- Choose one representative workflow and use synthetic records. Include a successful event, a duplicate, missing permission, and an ambiguous destination response.
- Check the exact connector operation on the proposed plan. A vendor logo in an integration directory does not confirm every action is supported.
- Have the future operator resolve a failed run and explain every human approval checkpoint. Record the time and knowledge required.
- Write down the source of truth, duplicate-prevention key, allowed data fields, and the action that stops the workflow.
Compare the full monthly cost
Use the same currency and billing period. Include the subscription, usage above allowance, AI/OCR calls, storage, messaging, staff review, and maintenance. Annual commitment prices are not month-to-month prices. Taxes and local pricing may differ. Our usage calculator lets you enter current quotes and explicit allowances.
Questions for the security and operations review
- Where does each field travel, including logs, backups, and subprocessors?
- Who can change the connection credentials, mapping, or external recipient?
- What happens when a source system times out or returns only the first page?
- How is an uncertain match reviewed before it changes a client record?
- Who owns recovery, key rotation, and quarterly permission reviews?
A practical decision record
Record your chosen option, rejected alternative, current quote, data-flow review, pilot results, and named owner. Set a review trigger such as usage doubling, a new service line, or a material vendor policy change. This comparison is an architecture assessment, not a hands-on vendor benchmark; no unmeasured speed or savings claim is implied.
